Marketing Promotional Calendar for Your Practice

On numerous occasions I have visited medical spa websites (or any type of site for that matter), and have found content that is outdated and simply stale. The worst experience is when I visit a website that has promotions still live from earlier in the year or a previous season. My blood boils when I see this, because these businesses are creating distrust within their potential customer base, and missing out on critical opportunities. It all starts with a little planning. We know that most promotions start with good intent, but somehow, facilities either forget to update their website or at least pull down outdated promotions. There's nothing like landing on a website and seeing a Winter Special when it's the middle of summer. Whether you are promoting a Chemical Peel Holiday Special, or a Summer Body Makeover Discount, it's imperative that you pull and swap promotions when the promotion ends. A great way to stay on top of updating your website is to create a promotional or merchandising calendar that will help you keep track of all the promotions you are running and the start and end dates. There are a few things you need to have on the calendar when creating it to track all coupons and promotions you are running.

#2 Assets (basically, where our promotions are currently listed. Are they on Google? Website? Flyers?)

#3 Results (after all, isn't this what its all about?)

#4 Holidays & special events (everything from Christmas to Super Bowl Sunday!)

We recommend that you have plan your promotions about 60 to 90 days in advance at minimum. This way you have ample time to prepare what is needed to run, manage and end your promotions. The further out you plan, the more successful your campaigns will be. We recommend using Excel to manage your calendar so you can ensure you have all your bases covered. List all holidays & seasons as you plan. I would also add mini events like Super Bowl Sunday, Breast Cancer Awareness Month and others. Get creative when designing promotions around all of these events that occur throughout the year, and make plans and assignments to update them as soon as the promotions end.
